Guidelines for Students and Academic Staff Traveling Abroad
In order to ensure safety, compliance with institutional regulations, and the effectiveness of international activities, students and academic staff of Kyrgyz State Technical University named after I. Razzakov traveling abroad within academic mobility programs, internships, conferences, official business trips, or other forms of international cooperation must follow the established procedures for preparation and reporting.
1. Preparatory Stage (Before Departure)
Prior to departure, it is required to:
- Obtain an official travel authorization (university order).
- Submit confirmation documents from the host institution (invitation letter, program, agreement).
- Arrange valid medical insurance covering the entire period of stay.
- Verify passport validity and visa requirements.
- Coordinate the visit program with the International Office.
- Familiarize oneself with the regulations of the host country.
- Provide emergency contact information.
Students must additionally:
- Approve their study plan (Learning Agreement, if applicable).
- Obtain academic approval from the department.
- Clarify the procedure for credit transfer.
2. During the Stay Abroad
While outside the Kyrgyz Republic, participants must:
- Comply with the laws of the host country.
- Maintain regular communication with the university coordinator.
- Represent the university professionally and responsibly.
- Follow standards of academic and professional ethics.
- Immediately inform the university about any emergency situations.
3. Upon Return
Within the established period after returning, participants must:
- Prepare and submit a report on the outcomes of the trip.
- Provide supporting documents (certificates, participation confirmation, programs).
- Submit materials for publication on the university’s official website.
- Present a brief report or presentation at the department (if required).
For academic staff, completion of the official business trip report form is mandatory.
4. Responsibility
Failure to comply with these requirements may result in:
- refusal of participation in future mobility programs;
- disciplinary measures in accordance with university regulations;
- denial of academic credit transfer (for students).
